Practice Manager – Physician Practices Department

The Practice Manager will oversee staff and daily operations at assigned office location. This role ensures effective and efficient management of clinical practices, focusing on operational excellence, staff management, and exceptional patient service. The role also includes travel between office locations and occasional evening or weekend work.
Key Responsibilities:
- Clinic Operations: Oversee day-to-day operations at assigned physician clinics. Perform monthly audits of patient charts, cash drawers, and various reports to ensure compliance and accuracy.
- Surgery Coordination: Manage providers’ surgery schedules, ensuring all necessary insurance authorizations, medical clearances, imaging, and surgical implants are secured.
- Staff Management: Recruit, onboard, train, and manage clinic staff. Conduct performance evaluations, address performance issues, and ensure staff are properly trained and supported.
- Administrative Functions: Manage office supplies, payroll processes, and vendor communications. Respond to patient inquiries and resolve concerns to maintain high-quality customer service.
- Billing & Reporting: Create claims for clinic encounters, resolve billing issues, and generate operational reports for senior leadership and physicians.
- Compliance & Policy: Implement and monitor adherence to policies, procedures, and regulations. Conduct routine reviews of clinic appearance, cleanliness, and safety standards.
- Staff Development: Lead training sessions on topics such as insurance billing, collections, and EMR system utilization. Foster continuous improvement in clinic operations and staff development.
- Community Engagement: Represent the clinic at community events to promote services and build relationships.
Qualifications:
- Strong knowledge of healthcare clinic operations, policies, and systems.
- Demonstrated ability to supervise, train, and develop staff across multiple locations.
- Proficiency in managing operational reports, financial processes, and billing systems.
- Excellent problem-solving, decision-making, and communication skills.
Skills & Competencies:
- Leadership: Proven ability to lead and motivate staff to meet operational and service excellence goals.
- Communication: Strong verbal and written communication skills, with the ability to engage effectively with staff, patients, and senior leadership.
- Organization: Ability to multitask, prioritize, and ensure efficient clinic operations across multiple locations.
- Technical Proficiency: Knowledge of EMR systems and general office software applications (e.g., Microsoft Office, billing software).
