PROJECT ADMINISTRATOR

The position involves providing administrative support to the project management team whose goal is to provide successful completion of projects that involve thorough communication and coordination with owners, architects, consultants, general contractors, sub-contractors, internal resources and vendor partners. This support will typically begin upon the initial contract with the customer and continue through the date of final completion and also through any necessary warranty period. In providing this function, the company strives to provide unsurpassed customer serviced to its customers, which in turn, encourages increased loyalty amongst our customer base.

Project Administrator Duties:

  • Measure project performance using appropriate systems tools and techniques.
  • Establish and maintain comprehensive project documentation.
  • Manage relationships with clients, third party vendors and manufacturer sales rep.
  • Assumes responsibility for working with project team members and maintaining complete and accurate records for multiple jobs – working with multiple project managers, field personnel and accounting.
  • Responsible for completing special projects and miscellaneous assignments as required by management.
  • Meet regularly with the Project Manager, Field and Accounting personnel to understand the specific needs of each job and determine where assistance is needed in the following areas. Tracking submittals and RFI’s, making copies, reviewing and sending out meeting minutes, following up with subcontractors or material suppliers to ensure the proper documents are received; and other needs as required.
  • Responsible for coordinating monthly payment applications and lien releases, per the requirements of the General Contractor. Provide Daily Job Log book to the Superintendent, when requested.
  • Support Project Managers with distribution of bid invitations, construction drawings and design changes.
  • Assist Project Managers on bid date, upon immediate request, in preparing and/or reviewing documents, making calls or other needs that could arise.
  • Secure Insurance and Bonding for projects as required.
  • Track manufacturer’s purchase orders to ensure timely delivery to the job site.
  • Scheduling coordination with job superintendent.
  • Create pick n’ pack and delivery documentation for installation team.
  • Attend bid openings and project “kickoff” meeting when available.
  • Coordinate/conduct product training with mfg. reps and facility personnel.
  • Other duties as assigned.

QUALIFICATIONS:

Education – College degree or professional experience equivalent, project management preferred.

Professional – Microsoft Office suite of products, database, excel proficient. Two years related experiences in the technical or construction industry sector preferred.
