Bell & Associates has been engaged to find our client their next AP Manager. Our client is looking for a highly motivated individual with a strong knowledge of basic accounting and strong computer skills to be part of the Accounts Payable team at the Corporate office. The Accounts Payable Manager is responsible for overseeing the organization’s accounts payable operations, ensuring accurate and timely processing of invoices, payments, and expense reports. This role manages the AP team, maintains strong internal controls, and ensures compliance with company policies and financial regulations while supporting efficient vendor relationships and cash management. This person must be able to operate independently, but work in a strong team environment.
Responsibilities
- Oversee the full-cycle accounts payable process, including invoice receipts, coding, approvals, and payment processing.
- Ensure accurate and timely processing of vendor invoices and employee expense reimbursements.
- Manage payment runs (ACH, wire transfers, and checks) and maintain appropriate payment schedules.
- Monitor AP aging reports and resolve outstanding balances or discrepancies.
- Supervise, train, and mentor accounts payable staff.
- Assign workloads and ensure adherence to departmental procedures and timelines.
- Manage company credit card program through BMO.
- Conduct performance reviews and support professional development of team members.
- Ensure compliance with company policies, accounting standards, and applicable regulations.
- Assist with internal and external audits by providing documentation and supporting schedules.
- Maintain positive relationships with vendors and respond to inquiries regarding payments or account issues.
- Resolve invoice discrepancies and payment disputes.
- Manage vendor setup and ensure accurate vendor records and tax documentation (e.g., W-9, 1099 reporting).
- Support end of year accounting close and issuance of 1099’s.
- Evaluate and improve AP processes to enhance efficiency and accuracy.
- Support automation initiatives and implementation of AP technologies or ERP systems.
- Assist with month-end close activities related to accounts payable.
- Reconcile AP subledger to the general ledger.
- Provide reports and analysis related to AP activity and cash flow.
- Other duties as assigned.
Requirements
- Bachelor’s degree in accounting, finance, or a related field preferred.
- 5-8 years of progressive accounts payable experience. 2-3 years of supervisory or management experience preferred.
- Strong knowledge of accounts payable processes and accounting principles.
- Experience with ERP or accounting systems (e.g., SAP, Oracle, NetSuite, or similar).
- Strong organizational and time-management skills.
- Excellent attention to detail and problem-solving ability.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Excel and financial reporting tools.
